Head of Project Delivery Department
Project Delivery Department, Warsaw (ul. Skierniewicka 14) - hybrid work combining the office with site visits in Poland and abroad.

Your responsibilities
- managing a team of Project Managers responsible for delivering projects,
- assigning projects to Project Managers based on their skills, workload and company priorities,
- supervising project delivery both from the office and directly on site,
- regular visits to sites, installations, handovers and meetings with clients and subcontractors in Poland and, depending on the project, abroad,
- monitoring project progress in terms of deadlines, costs, quality and compliance with client agreements,
- creating, reviewing and updating project schedules,
- supervising schedules, budgets, project documentation and project settlements,
- identifying project risks and implementing corrective and preventive actions,
- supporting Project Managers in difficult conversations with clients, subcontractors and internal departments,
- coordinating cooperation with sales, planning and estimating, technical, purchasing, logistics, production, warehouse, finance and controlling,
- organising the work of in-house installers and cooperating with installation companies,
- developing and vetting the base of installation subcontractors in Poland and abroad,
- negotiating and concluding contracts with subcontractors, including scope, deadlines, rates, liability, handover and settlement rules,
- controlling the quality, timeliness and compliance of subcontractors' work,
- supervising handovers, as-built documentation and the settlement of completed projects,
- reporting project status, risks, delays, budget variances and recommended actions to the board,
- preparing presentations, summaries, reports and analyses for the board and internal teams,
- implementing improvements in delivery processes, communication, reporting and project settlement,
- building a culture of accountability, timeliness, cooperation and high-quality client service.
Our requirements
- experience managing a team of Project Managers or a delivery team,
- experience running fit-out, installation, furniture, construction or technical projects,
- readiness to work in a hybrid model - on average 2 days in the office in Warsaw and 3 days on site,
- readiness to travel for site supervision, installations, handovers and project meetings in Poland and abroad,
- experience working with subcontractors: sourcing, vetting, negotiating terms and settling completed work,
- ability to negotiate and conclude subcontractor contracts,
- ability to independently create, update and control project schedules,
- practical knowledge of project planning tools such as Microsoft Project or similar,
- at least intermediate Microsoft Excel skills (tables, summaries, filters, formulas, reports),
- ability to prepare clear presentations and reports in Microsoft PowerPoint,
- ability to plan budgets, resources and priorities,
- excellent organisation of your own and your team's work,
- decisiveness and quick reactions in problem situations,
- experience cooperating with clients, subcontractors and internal departments,
- practical knowledge of the process: technical documentation, production, logistics, delivery, installation, handover, settlement,
- analytical skills covering costs, margin, profitability and project variances,
- strong communication and negotiation skills,
- independence, accountability and a problem-solving mindset.
Nice to have
- experience in furniture, office, hotel or commercial interiors,
- knowledge of furniture production and installation processes,
- experience working with technical and production documentation,
- knowledge of ERP, CRM or project management tools,
- experience building and developing a subcontractor base,
- English or another foreign language useful in contacts with clients, subcontractors or partners abroad.
